ADMINISTRATIVE ASSISTANT

As a pivotal member of the Central Community Health Centre (CCHC) team, the Administrative Assistant is a dynamic individual with the professional presence to be the first point of contact or the “face of CCHC”. The Administrative Assistant will:

  • Have experience working in customer service or office administrative roles in a healthcare setting;

  • Be a highly organized individual who thrives in a fast-paced and demanding environment;

  • Have experience working with people of varied socio-economic backgrounds and who face barriers to achieving health and wellbeing;

  • Respect and value the full diversity of individuals and communities;

  • Have experience working with clients who have experienced trauma;

  • Ensure visitors feel welcome, safe and comfortable; and

  • Have a passion to serve the community.  

 

Reporting to the Director of Finance & Administration, your duties and responsibilities in this role will include, but are not limited to:

  • Greet in a friendly and professional manner all clients and other visitors, in person and on the telephone, and direct them to the appropriate colleague

  • Prepare, maintain, update, retrieve, track and file charts and other client records, manually and/or electronically

  • Ensure client information is kept confidential at all times

  • Schedule client, specialist and diagnostic testing appointments using EMR and make reminder calls or fax prescriptions, photocopy requisitions, print documents etc.

  • Make referrals as directed by your colleagues

  • Maintain a current referral directory

  • Maintain service providers’ schedules in consultation with providers

  • Maintain inventory of necessary forms

  • Ensure all duties are performed in a safe manner; reporting any items and/or issues that need attention to your supervisor and/or Joint Health & Safety Committee

  • Schedule the Ontario Telemedicine Network (OTN) as needed for team members

  • Ensure all mail is taken to the post office on a daily basis; outgoing mail posted daily in log

  • Open and close the Health Centre on a daily basis, ensuring the security of the buildings and premises

  • Ensure Life Labs specimens are ready for pick up at the front desk

  • Ensure the reception area(s) at CCHC are clean, tidy and stocked with relevant, and appropriate information

  • Ensure the bulletin board in front vestibule is tidy and posted with relevant, appropriate and timely information

  • Other duties as may be assigned by the Director, Finance & Administration or their designate

Qualifications

  • Three to five years’ customer service experience

  • Three years’ office experience, preferably in a healthcare setting

  • Proficiency with Microsoft Office applications and other software applications and office equipment

  • Experience with reporting software required by LHIN and MOHLTC is an asset

  • A second language is an asset

  • Experience working with clients who have experienced trauma is an asset

  • Understanding the importance of health promotion, the impact of the broader health determinants on individuals and the community, and principles of community-based decision-making are considered assets

  • CCHC offers a competitive compensation package including comprehensive benefits and a pension plan.

  • Hours of work: 37.5 hours per week; flexibility to work some evenings and/or weekends is required
